  • Conversation data: AI conversation transcripts you submit for scoring via CLI, web paste, or API
  • Score data: AI-generated quality scores, coaching reports, and analytics derived from your conversations
  • Usage data: Submission frequency, feature usage patterns, and session information
  • Payment information: Processed securely through Stripe — we do not store card numbers directly

2. How We Use Information

Your information is used to:

  • Generate conversation quality scores across six dimensions (Clarity, Context, Efficiency, Features, Engagement, Self-Correction)
  • Provide personalized AI coaching and improvement suggestions
  • Power team leaderboards, attendance tracking, and admin analytics
  • Process payments and manage subscriptions
  • Improve the Service and develop new features
  • Communicate important updates about the Service

3. Data Storage & Security

We implement industry-standard security measures to protect your data, including encrypted data transmission (TLS), hashed passwords (bcrypt), CSRF protection, and rate-limited authentication endpoints. Conversation data and scores are stored in encrypted databases with access controls.

4. Third-Party Services (LLM Providers)

ConvoScore uses large language model (LLM) providers to analyze and score your conversations. Key points:

  • Conversation transcripts are sent to LLM providers (e.g., OpenAI, Azure OpenAI, Anthropic) for scoring
  • We use API-level access — providers do not use your data for model training under their API terms
  • BYO LLM option: Business and Enterprise customers can bring their own API keys, routing all AI processing through their own provider accounts for full data control
  • Payment processing is handled by Stripe, subject to Stripe's Privacy Policy

5. Data Retention

We retain your conversation data and scores for as long as your account is active. When you delete your account, your personal data will be removed within 30 days. Aggregated, anonymized analytics data may be retained for service improvement purposes.

6. Your Rights

You have the following rights regarding your data:

  • Access: Request a copy of your personal data
  • Deletion: Request deletion of your account and associated data
  • Export: Download your scores and conversation history in CSV format
  • Rectification: Request correction of inaccurate personal information
  • Objection: Object to processing of your data for specific purposes
  • Portability: Receive your data in a structured, machine-readable format

7. Cookies

ConvoScore uses essential cookies for authentication (session tokens), CSRF protection, and user preferences. We do not use third-party tracking cookies or advertising cookies. Essential cookies cannot be disabled as they are necessary for the Service to function.

8. Children's Privacy

ConvoScore is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children. If we discover that a child under 16 has provided us with personal information, we will promptly delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date. We encourage you to review this policy periodically.
